Billing Accounts

Effective management of Billing Accounts is critical for maintaining financial control in Biztraak.
Where enabled, a team billing account can link payment methods, cloud provider accounts, and usage tracking into one place. Available billing features vary by account and deployment configuration.


What is a Billing Account?

A Billing Account in Biztraak can include:

  • Payment Methods: payment or invoicing options exposed by the account workflow.
  • Cloud Provider Accounts: supported provider credentials or account connections.
  • Usage Controls: budgets, spending alerts, cost reports.
  • Governance context: available billing events may be logged for operational or governance review.

Access is controlled by the team roles and billing workflow. Confirm which roles can manage payment information, provider connections, budgets, and reports in the current product.


Setting Up a Billing Account

  1. Navigate to your Team Dashboard.
  2. Select Settings → Billing.
  3. Click Add Billing Account.
  4. Enter billing details (payment method or cloud provider credentials).
  5. Click Save → account is now linked to your team.

Updating a Billing Account

  1. Go to Settings → Billing.
  2. Click Edit next to the existing account.
  3. Update details (payment info, IAM roles, account IDs).
  4. Click Save.

Monitoring Costs

Biztraak provides detailed Cost Reports so you can track usage:

  1. Go to Settings → Billing → Cost Report.
  2. View breakdowns by project, component, or resource.
  3. Export data for compliance reporting.

Regular monitoring helps you stay on budget and adjust usage proactively.


Billing Alerts

Billing Alerts notify Admins when spending crosses a defined threshold.

Create a Billing Alert

  1. Go to Settings → Billing → Manage Alerts.
  2. Click Add Alert.
  3. Set a cost threshold.
  4. Click Save.

Admins are notified via email when the threshold is reached.

Update an Alert

  1. Go to Settings → Billing → Manage Alerts.
  2. Click Edit next to an alert.
  3. Adjust the threshold → Save.

Disable or Delete

  1. Go to Settings → Billing → Manage Alerts.
  2. Click Disable to pause, or Delete to remove.

Closing a Billing Account

  1. Navigate to Settings → Billing.
  2. Click Close Account.
  3. Confirm closure.

⚠️ Closing or disabling a billing account may affect linked projects, provider connections, or deployments. Review the confirmation details and dependencies before proceeding.


Best Practices

  • Assign least-privilege IAM roles when linking cloud accounts.
  • Monitor Cost Reports monthly.
  • Use Billing Alerts to avoid surprise expenses.
  • Separate accounts for dev/staging/prod or client projects.
